Master Resume: Build One With AI and Reuse It
Build a master resume with AI: one complete record of your experience, results and skills you can tailor in minutes for every job, internship or scholarship.
- Time to complete
- 60 to 90 minutes, once; 10 minutes a month to update
- Tools needed
- any AI chat toola document or notes app (Google Docs, Word or Notion)old CVs, job descriptions, performance reviews and certificates if you have them
Every time you apply for something, you start from scratch: dig up your old CV, try to remember what you did three years ago, rewrite bullets, then forget half your best achievements because they weren't in the last version. Multiply that by dozens of applications and you lose hours, and quality.
A master resume (often called a master CV in Nigeria and the UK) fixes this. It's one long, private document that holds everything: every role, every result, every project, skill, certificate and award, written up properly once. It's not the CV you send. It's the source you cut tailored CVs from in minutes.
By the end of this workflow, you'll have a complete master CV and a simple routine to keep it updated, so every future application starts from your best material.
Master CV vs Tailored CV
Master CV: private, long (often four to eight pages), complete and organised. Includes everything, even things you'll rarely use.
Tailored CV: what employers see. One or two pages, chosen from the master CV for one specific role.
The master CV is where you remember; the tailored CV is where you choose.
What Goes In
Contact details and links (LinkedIn, portfolio, GitHub)
Several versions of your professional summary for different types of roles
Every job, internship, NYSC placement and freelance project, with all achievement bullets
Projects, including academic, personal and volunteer work
Education, certifications and courses, with dates
Skills grouped by type: technical, tools, languages and soft skills with evidence
Awards, publications, leadership roles and community work
A "stories" section: short notes on achievements you can use in interviews
1. Gather your raw material
Collect everything in one folder: old CVs, job descriptions from roles you've held, appraisal feedback, certificates, LinkedIn profile text, project write-ups and messages praising your work.
Then paste it all into one AI conversation:
I'm building a master CV. Here is everything I have about my career so far: [paste old
CVs, LinkedIn text, notes]. Organise it into these sections: contact, roles (newest
first), projects, education, certifications, skills, awards, volunteering. Keep every
detail. Don't remove or summarise anything yet, and don't add anything I didn't provide.Checkpoint: You have one organised document containing all your raw material.
2. Fill the gaps with an AI interview
Most people have forgotten more than they remember. Let AI find the gaps.
Look at my organised career history. For each role and project, list what's missing:
dates, results, numbers, tools used, team size, what I personally did. Then interview
me one question at a time to fill the most important gaps, starting with my most
recent role. Stop after 15 questions.Checkpoint: Each role has dates, tools and at least some results.
3. Write full achievement bullets for every role
For each role, write all possible achievement bullets, not just the best five. You'll choose later. If you need help with the method, follow Resume Bullet Points: Turn Duties Into Achievements.
Using only my answers for [role], write every achievement bullet you can: action verb,
what I did and the result. Include all of them, even minor ones, and tag each with the
skills it shows, for example [Excel] [stakeholder management] [customer service].The skill tags are the secret. Later, you can search your master CV for a tag and instantly find every bullet that proves that skill.
Checkpoint: Every role has a full set of tagged bullets.
4. Write several summaries
Based on my master CV, write 3 different professional summaries of 3 sentences each,
for these types of roles: [e.g. data analyst, operations, customer success]. Use only
facts from my master CV.Checkpoint: You have a summary ready for each type of role you target.
5. Build your story bank
Interviews often ask for examples. Turn your best achievements into short stories now, while you remember them.
Pick my 6 strongest achievements and write each as a short STAR story (situation, task,
action, result) of about 100 words, in plain spoken English, so I can use them in
interviews.Check each story is accurate, then save them in your master CV. Our guide on how to pass an AI job interview shows how to use them.
Checkpoint: You have six interview-ready stories.
6. Save, organise and set a reminder
Save the master CV somewhere safe and easy to find, such as Google Docs or a notes app. Use clear headings so you can search it. Then set a monthly 10-minute reminder to add new results, projects, courses and feedback.
Checkpoint: Your master CV is saved, searchable and scheduled for monthly updates.
7. Cut a tailored CV in minutes
When you find a role, use the master CV as your source:
Here is my master CV: [paste]. Here is the job posting: [paste]. Select the most relevant
summary, the 5 to 6 strongest matching bullets for my recent roles and 2 to 3 for older
roles, and the most relevant skills, projects and certifications. Keep everything
accurate and fit it to 2 pages. Don't add anything that isn't in my master CV.Then follow Turn a Job Posting Into a Tailored Resume With AI for the final polish.
Checkpoint: You can produce a tailored CV in about 15 minutes.
A Worked Example
Tolu has applied for marketing, sales and customer success roles, each time rewriting her CV from an old version. After building a master CV, she has 31 tagged bullets across four roles, three summaries and six interview stories. When a customer success role appears at a Lagos SaaS start-up, she searches for [customer retention] and [onboarding], picks her best matching bullets and has a tailored CV ready in 15 minutes, including two achievements she'd left off her last three applications.
Expected output
A private, complete master CV with organised sections, tagged achievement bullets for every role, multiple summaries and an interview story bank, plus a monthly update habit.
Check Your Work
Does every role have dates, tools and results?
Are bullets tagged with skills so you can search them?
Do you have summaries for each type of role you target?
Are your interview stories accurate and ready to tell?
Is it saved somewhere safe, with a monthly reminder set?
Common mistakes
Sending the master CV to employers instead of a tailored version
Leaving out "small" achievements that might matter for a future role
Letting AI summarise away details you'll need later
Forgetting to update it, so it goes stale
Storing personal documents like ID scans in the same shared file

What is a master CV?
A private, complete document of your entire career history, achievements and skills, used as the source for tailored CVs. It isn't sent to employers.
How long should a master CV be?
As long as it needs to be. Four to eight pages is common. Completeness matters more than length.
How often should I update it?
Monthly, or whenever you finish a project, get feedback, complete a course or change roles.
Can I use a master CV for scholarships?
Yes. It makes scholarship and fellowship applications much faster, because your achievements, leadership and community work are already written up.
